AI Lead Inbox: replying to sellers

The AI Lead Inbox turns every seller lead into a two-way conversation. When a seller replies to one of your emails, the message lands in your inbox instead of getting lost in a personal mailbox, and you can answer with a polished reply that the AI drafts in your company's voice.

It is a Marketplace app: you turn it on once for your account, then it appears on every lead.

Turning it on

  1. 1Go to Marketplace in the left sidebar.
  2. 2Under Apps (at the top, above Content Packs), find AI Lead Inbox.
  3. 3Click Enable. It is free.

Only an owner or admin can enable or disable an app. Once enabled, an Inbox appears in the left sidebar and a Conversation section appears on every lead's detail page.

Your Inbox

Click Inbox in the sidebar to see every conversation in one place, like an email client:

  • The left side lists each conversation, newest first, with an unread count. Use the Open / Snoozed / Done tabs at the top to focus, the search box to find a conversation by name, email, or message text, and the filter chips (All / Texts / Calls / Missed / Email) to see one channel at a time. The Needs reply chip narrows to conversations waiting on you, and each of those rows shows how long the seller has been waiting — the badge turns amber after an hour and red after a day, so the next call is always obvious.
  • Click one to open the thread in the middle pane. Emails, texts, and phone calls all appear in the same timeline — a missed call shows as a "Missed call" entry, so the call, the automatic text-back, and the reply read as one story. Answered calls include the voice recording right in the thread — press play, or click Listen and it loads on the spot — plus the full transcript under "Show transcript." Each pane scrolls on its own, so the list stays put while you read a long thread.
  • On large screens the contact card lives in the right rail: name, phone, email, tags, and where the lead came from, plus the lead's score, status, deal numbers (recommended cash offer, estimated value, and your spread), and one-click links to the connected deal room and transaction. On smaller screens tap Details to open the same card. If the lead isn't a saved contact yet, click Add as contact; if it is, click Open contact.
  • The card is a command center, not just a summary: add or remove tags right on the card (system-managed tags show a lock), move the lead's pipeline stage, enroll them in a workflow without leaving the thread, and — when Contracts is enabled — send a contract prefilled with this lead. If the seller has opted out of texting you'll see a red Texting: opted out chip; you can also mark any lead do-not-text yourself. A seller who texted STOP can only opt back in by replying START — that's deliberate, and it protects you.
  • Done & Snooze: mark a conversation Done to clear it from your Open list, or Snooze it and pick exactly when it should return — later today, tomorrow morning, next week, or any date you choose (times follow your account timezone). Reopen a Done or Snoozed thread anytime.
  • Row menu & bulk actions: hover a conversation and click the menu for one-click moves — mark as unread or read, Done or Reopen, Snooze, open the lead, or copy their phone/email. The same menu sits in the thread header. To clean up in batches, hover rows and tick the checkboxes (or use select-all at the top), then use the bar that appears: Mark read, Snooze…, or Done for everything selected at once.
  • Keyboard: j / k move through the list, Enter opens, e marks Done, s opens the snooze picker.
  • A blue number badge on the Inbox sidebar item shows how many unread seller replies you have.

You can reply from the Inbox or from the lead's own Conversation card. They are the same thread.

Multiple sites

If you run more than one website, a site switcher appears at the top of your inbox. Pick All sites to see everything, or a single site to focus on just its conversations — each conversation is also tagged with its site. Replies always go out from that site's own number.

Replying to a seller

  1. 1Open the Inbox, or open a lead and scroll to the Conversation card.
  2. 2Type your reply in the box, or click Draft with AI to have the assistant write one for you.
  3. 3Review and edit the draft, then click Send.

Your reply goes out as your company (your name, logo, and brand color), not as DispoStack. The seller sees a clean, branded email.

How "Draft with AI" works

The assistant reads the lead's details (situation, motivation, timeline, condition), the latest deal numbers, and the conversation so far, then writes a short, friendly reply in the first person. It never invents facts or states a firm offer. Treat every draft as a starting point: read it, tweak anything that does not sound like you, and send.

Saved replies

The ten messages you send all day — condition questions, offer framing, the appointment ask — belong in Saved replies. Click the bookmark icon next to Draft with AI to insert one, save your current draft as a new reply, or manage the list. Replies support fill-in fields like {{first_name}}, {{name}}, {{address}}, and {{city}} — they're filled from the lead automatically when you insert, and anything unknown becomes a visible [bracketed] placeholder so you never send a blank.

Catch me up

Coming back to a long negotiation? Click Catch me up at the top of a thread for a short AI summary of the conversation — the seller's situation, what's been discussed on price, any commitments — plus one suggested next step. It's a read-only note just for you (nothing is sent), and it uses your account's AI allowance like Draft with AI.

Getting notified about new replies

When a seller replies, you get told two ways:

  1. 1Email: the owner gets a branded "New reply from {seller}" email with a preview and a link straight to the conversation.
  2. 2In-app: the unread badge on the Inbox sidebar item goes up, and the dashboard "Needs attention" card shows your unread replies.

Opening the conversation marks it read and clears the badge. You can turn the email off in Settings, then Email notifications (under "Sent to you and your team") if you only want the in-app badge.

Auto-send (optional)

In Marketplace, then AI Lead Inbox settings, you can turn on Auto-send. Leave it off to approve every reply yourself (recommended). This setting is saved per account.

Why don't seller replies show up yet?

There is nothing for you to set up. Receiving replies into the conversation is a one-time connection we make on our side (the platform). You do not touch DNS, MX records, or any settings for this.

Until that connection is finished, you can still send replies and draft with AI right now. The moment inbound email goes live, seller responses start appearing in the Conversation thread automatically, for every lead. The card will say "replies land here automatically" once it is on.

Turning it off

Disable the app the same way you enabled it: Marketplace, then AI Lead Inbox, then Disable. The Inbox item and the Conversation section are removed. Your past messages are kept.

Controlling the email

The reply email is the Lead reply notification. Like every email DispoStack sends, you can preview it and switch it off in Settings, then Email notifications (under "Sent to your sellers"). If you turn it off, the Send button will tell you replies are disabled.
